The following policies statements were passed at the January 2004 AIA/CKC Board Meeting:
Policy on AIA/CKC email announcements:
Informing our members of opportunities that would be of interest to them is a big part of what AIA should be about. Therefore the AIA/Central Kentucky Chapter will distribute email to its membership under the following rules.
1) All members of AIA/Central Kentucky Chapter who provide their email address to the chapter will receive periodical announcements of chapter programs, other events or other timely and newsworthy items of interest to the membership. These include items initiated or sponsored by the chapter itself and other AIA component chapters as well as email from sources other than the AIA as delineated below.
2) Announcements may also be distributed by this chapter for the following:
a) Events sponsored by “Allied organizations”, such as CSI, IIDA, etc.
b) Commercial entities if they are deemed “of interest” to chapter members. (This includes companies that provide continuing education opportunities that chapter members may be interested in attending, i.e. a roofing seminar by a roofing manufacturer).
c) Chapter members may request an announcement be sent to the membership.
3) All announcement requests made by parties other than the AIA, will be reviewed by the chapter president and the web site committee chair for its appropriateness and “interest to the membership”.
4) Announcements will be distributed to all AIA/CKC members. When this policy is first adopted by the board, an email announcement of this policy will be sent to the membership. Members will be given an opportunity at that time and periodically thereafter to request via return email to have their names REMOVED from the email list. Members may ask that their email address be removed from the list at any time.
5) The chapter will not charge other AIA chapters or allied organizations for this service. Commercial entities and AIA members may be charged an amount set by the Web Site Committee and approved by the AIA/CKC Board of Directors.
6) A disclaimer will be placed on all email announcements not originating from this or other AIA Chapters. The disclaimer (which may be modified by the AIA/CKC Board of Directors) will read as follows:
“DISCLAIMER: This announcement is being provided to members of the Central Kentucky Chapter of the American Institute of Architects for informational purposes only. The distribution of this announcement should not be considered as a sponsorship, endorsement, approval, or recommendation by the American Institute of Architects or any of its components.”
Policy on posting items on AIA/CKC web site and in Newsletter:
Informing our members of opportunities that would be of interest to them is a big part of what AIA should be about. Therefore the AIA/Central Kentucky Chapter will post items on the chapter’s web site and in the chapter newsletter under the following rules.
1) Announcements may be posted on the web site or in the chapter newsletter for the following:
a) Events sponsored by “Allied organizations”, such as CSI, IIDA, etc.
b) Commercial entities if they are deemed “of interest” to chapter members. (This includes companies that provide continuing education opportunities that chapter members may be interested in attending, i.e. a roofing seminar by a roofing manufacturer).
c) Chapter members may request an announcement be sent to the membership.
2) Articles shall be written by individuals listed above and will be reviewed by the chapter president and the web site committee chair and/or newsletter editor for its appropriateness and “interest to the membership”.
3) The chapter will not charge other AIA chapters or allied organizations for this service. Commercial entities and AIA members may be charged an amount charged will be the amount set by the Web Site Committee/Newsletter Editor and approved by the AIA/CKC Board of Directors in advance. The chapter president may decide whether to waive the charges on a case by case basis.
Policy on giving/selling the AIA/CKC membership to other entities:

1) The membership list in electronic format, which includes email address and postal addresses will not be given or sold to any outside entity at any time. Email addresses will not be given or sold to any outside entity in either electronic or printed format at any time.
2) The membership postal address may be given or sold in “printed label” format only, to the following entities:
a) “Allied organizations”, such as CSI, IIDA, etc.
b) Commercial entities if they are deemed “of interest” to chapter members. (This includes companies that provide continuing education opportunities that chapter members may be interested in attending, i.e. a roofing seminar by a roofing manufacturer).
c) Chapter members may request an announcement be sent to the membership.
3) All requests for address labels made by parties other than the AIA, will be reviewed by the chapter president and the member responsible for maintaining the membership list, for its appropriateness and “interest to the membership”.
